How to Manage Dx (Diagnosis) in the Billing Module
User may proceed to the Billing module by clicking on “Billing.” Once there on the Billing home page, choose Transfer Codes to see the list of patients. The Transfer Codes page allows the billing clerk to view and edit the billing codes for the patient’s visit before transferring them to the Practice Management System.
When this link is clicked, the default page will display today’s date and all the patient records that have charges associated for their visit. The user can search by date range or patient name. At the top of the page, two radio buttons labelled All Records and Records from date range (mm-dd-yyyy).
Selecting the top radio button All Records will bring up the result of a patient search regardless of the date. The lower button will bring up the result of all patients or for one patient (enter the name in the search box) for the date range selected. The records that are retrieved are only for charges that have not been transferred.
Clicking “Encounter Date” shows all patients in a chronological order.
Here you will see a list of patients in the system and have the ability to “Modify all codes”, and accept or reject changes made. On the right is a status column. There are three states:
- Not reviewed; no one has acted on it.
- Modified; a user has claimed those charges and modified them.
- Accepted; the charges are ready to be transferred.
When you click the Accept button, the charge is checked that every billable CPT code has associated ICD-10 code(s). If not, then an alert will be displayed in the lower left portion of the screen (blue arrow on the lower left). There must be at least one ICD code for each DPT.
The Modify All Codes button located in the bottom left corner will open the Modify Codes page.
You can assign codes by clicking “Add New” where the blue arrow on the left is shown. Then click on the ICD codes in order to choose and confirm you’d like to add that code.

Once you have confirmed by clicking Done, you will see “Modified” under the Status column, to indicate that you’ve made changes to the patient’s file.
Once you have confirmed, you will see under “Status” modified as being the new status since of course you made changes to the patient’s file.
Again, proceed by clicking “Accept” to confirm any changes. Now your changes have been saved.
